What this policy covers
This policy applies to the Oxewill website, the Oxewill web application, the chemist ordering app, and the apps used by salesmen, pickers and drivers.
In this policy, "you" means the distributor that holds the Oxewill account. "Your users" means your staff who log in. "Your chemists" means the retailers, hospitals and other buyers whose records you keep in Oxewill.
Information we collect
When you sign up or contact us, we collect your name, firm name, email, city and the details you choose to share about your business.
When you use Oxewill, you store business records in it. These include:
- Item masters, batches, expiry dates, MRPs and rack locations
- Chemist names, addresses, drug licence numbers, GST numbers, credit limits and outstanding
- Sale and purchase bills, schemes, credit notes, returns and claims
- Orders received on WhatsApp, the chemist app and from salesmen
- Delivery photos, signatures and payment records captured by drivers
We also collect technical information needed to run the service, such as device type, browser, IP address and login times.
Your data, our role
The business records you keep in Oxewill belong to you. We process them only to provide the service to you, on your instructions.
You are responsible for having the right to store your chemists' and companies' information and for meeting the record-keeping rules that apply to your drug licence.
How we use information
- To run Oxewill for you: billing, stock, schemes, credit, dispatch, returns and AI reorder suggestions
- To send your login credentials, account notices and replies to your questions
- To keep the service secure and to investigate misuse
- To improve the product, using usage patterns that do not identify your chemists or your sales
AI reorder suggestions
The AI Reorder Brain builds forecasts from your own sales, stock, batch and purchase data. Your data is not used to make forecasts for any other distributor.
AI suggestions are drafts. No purchase order or return is sent unless a person in your team approves it.
Sharing
We never sell your data, and we never share one distributor's chemist or company data with another distributor.
We share information only with service providers that help us run Oxewill, such as hosting, email delivery and messaging providers, under contracts that limit their use of it; when you ask us to, for example when you connect a company portal or the API; or when the law requires it.
How we protect it
Data is encrypted in transit and at rest. Access inside your account follows the roles you set, so a salesman sees his beat and not the purchase ledger.
We keep backups so your records can be restored after a failure.
How long we keep it
We keep your business records while your account is active. If you close your account, you can export your data first. We delete it from active systems within 90 days of closure, except where the law requires us to keep it longer.
Your choices
You can view, correct and export your records from inside Oxewill at any time. To ask about deletion or anything in this policy, write to us through the Contact us page.
If a chemist asks about their information, we will refer them to you as the distributor who keeps the record, and help you respond.
Changes to this policy
If we make a material change, we will tell account owners by email or inside the application before it takes effect.
